How do we obtain your information & why?
In 99% of cases you will volunteer your personal details to us. We will always tell you before we capture your information why we need the information and how we will use it.
|Selling your personal information||Let me assure you that we will never sell your information, or share it with any third party, save those detailed below, or with any government agency entitled to this information by law.
However, if in the event that the HAND IN HAND Professional Limited is ever sold as a going concern, or enters into administration, the information of clients and prospects, shall be deemed an asset of the company, and the consents and permissions provided by the data subject shall be transferred to the new owners. In this event our clients will be notified of any such sale and you will have the right to withdraw your consent to processing should you wish to do so.

|Purpose of the processing and legal basis for processing||HiH will only process your personal or company information to be able to help you to achieve your end goal and provide the agreed service to you, this may be consultancy work and/or training.|
|HIH Legitimate interests||Processing of your data is necessary for the performance of a contract between you and HIH or in order to take steps at your request prior to entering into a contract.|
|Categories of personal data collected, stored, processed by HIH||Consultancy:
We will only collect and process your personal details if you have contacted us or been referred to us by one of your contacts.
We collect your personal details to allow contact by email or telephone to allow HIH to provide you with the requested service e.g. support to achieve your selected external quality standard and/or training.
We will hold your company address, phone number and email address.
If you have enrolled onto one of our training courses then we will need to know your name, company address and contact details, and in order to support you in your learning experience we may need to ask for other specific information. We ask if you have any dietary requirements to accommodate your catering requirements on the day and may ask if you require any particular assistance with Learning materials or additional help in taking the exam, or if you have any special needs to allow us to fully ensure that we provide the appropriate access to your training room. In some circumstances this information may need to be shared with the certifying and/or accrediting organisation as part of theirs /our due diligence to ensure that we at all times allow complete access to our qualifications.
We also collect further information about you as requested by organisations certifying or accrediting the qualifications we offer such as your data of birth to allow distinction between persons with the same name. Ethnicity to allow such organisations to monitor racial bias within the qualification system and to ensure fairness to all examination candidates. Whether you are male or female again to monitor bias. We may also request that you provide the contact details of a friend or family member so that we have a contact point in case of emergency.
|How we store your information||Information and records stored by HIH are generally stored in hard copy files within a secure environment.
Emails address are retained within our email system.
Phone numbers in our hard copy directory and in mobile phone.
Consultancy clients are requested to open a could based electronic facility to which HIH are invited to join the file, the controller of this information is the client and not HIH so at all times you are in control of your own quality management system.
|Sharing your data with other companies or third parties||Consultancy:
HIH do not share your details with any other parties unless requested to do so by you e.g. referral.
To allow ease of sharing and access to information that passes between us HIH request that clients open a cloud-based accounts for the storing of information, this system is the property and responsibility of the client
HIH share your details with organisations certifying or accrediting the qualifications we offer. When we collect information on behalf of such organisation this information is inputted into their electronic system to allow the processing of your examination. (please note: this organisation is now the controller of your data not HIH)
Once inputted the information collected by HIH is securely deleted if collected by email and securely shredded if collected in hard copy.
We will share your examination pass marks with your training provider so that they are able to give you feedback regarding your examination performance.
HIH will also share the details of any examination candidate’s special needs with the organisation responsible for providing the examination as this data forms part of the examination process. This information will be used to monitor and ensure fairness and accessibility of the examinations to all members of society.
|Transferring your data to third country and safeguards||Where HIH issue our own certificate, your details including your name, pass mark, certificate number and company name will be stored in our cloud-based system Dropbox – storage is in the USA.
We retain these records so that should you wish to in the future you can request a further copy of your examination certificate e.g. should you lose the original.
|Retention period or criteria used to determine the retention period||Consultancy:
HIH will retain your details indefinitely to allow us to support our service provision to you and to keep you posted regarding any changes that may affect your organisation relevant to the requirements of the contract between us.
You may at any time request that HIH delete your details and request us to stop contacting you, should you wish to take this option your details will be deleted from our email and phone systems as soon as we receive your request but no later than 24 hours.
HIH will retain your details regarding your pass marks for up-to 10 years, this is necessary to allow you to request a copy of your certificate in the event that you may lose the original.
|Your right to withdraw consent at any time||You may at any time withdraw your consent from HIH to retain your personal data or contract details. Please contact our data protection officer with your request.
Once we have received your request we will delete or suppress your details and all information stored about you unless as an organisation we must retain the information for a legal obligation.
|Your rights to lodge a complaint with a supervisory authority||You have a right to lodge a complaint with regulatory authority against HIH if you feel that we have acted in such a manner that may cause negative impact to you. However, we would appreciate the opportunity to deal with your compliant internally and would ask that you allow us the opportunity to do so before lodging your compliant.

|You have a right to request HIH to provide you with the details of the information that we may hold about you.
|To request this information please contact our data protection officer as detailed above detailing the requirements of your request.
HIH will respond to you within one month of receiving your request.
The provision of such information is free.
However, we may request a minimum fee from you if your requests are repetitive or excessive such a fee will in include reasonable administration costs.

|Statutory or contractual requirements or obligation and possible consequences of failing to provide the personal data||Consultancy:
If you fail to provide information to HIH this may affect our ability to contact you regarding our service provision.
If you fail to provide information to HIH this may affect our ability to ensure that you have every opportunity to study in an environment suitable to your needs and/or to have every opportunity to conduct your examination and to receive any help you may need to gain the pass mark for which you are capable with the additional help you may have or should have requested.
|Automated decision making||HIH do not undertake any form of automated processing regarding the use, storage or processing of your personal data.|
